Scope of Work – Cleaning Services

Thank you so much for considering Realty & Commercial Cleaning Agency, LLC for your cleaning needs. We truly appreciate the opportunity to serve you and bring peace, comfort, and cleanliness to your space.

By booking services with Realty & Commercial Cleaning Agency, LLC, the client acknowledges and agrees to all terms and conditions outlined by this company.

This is a general cleaning term as outlined for your specific area. The following details and limitations are provided to ensure full transparency and understanding:

Hard Water Stains: While professional-grade products and techniques are used, complete removal of hard water stains cannot be guaranteed.

Wall, Cabinet & Surface Markings: We will clean to the best of our ability; however, full removal of markings may not be possible.

Odors: No guarantee is made regarding a specific scent or odor elimination, as results may vary and scent perception is subjective.

Mold & Mildew: Mold or mildew remediation is outside the scope of services and must be handled by licensed mold remediation professionals.

Pests & Vermin: “Cleaning related to pests, vermin, or their waste is considered a Specialized Biohazard Service and is not included in standard rates. “This is Hantavirus risk, requiring Pro Grade HEPA-filtration and BBP-level sanitization. We have a specialized rate for bio-remediation if encountered, work will stop, and a Biohazard Remediation Quote will be provided.”

Lighting Fixtures: For safety reasons, interior light fixtures will be cleaned using extension tools only. Ladders are not used under any circumstances.

Supplies & Equipment: All labor, professional cleaning supplies, and equipment are provided by our company. In some cases, an additional supply fee may be noted on the invoice.

Appliances: Oven cleaning is not guaranteed to achieve full cleanliness. All other appliances will receive a surface wipe-down.

Carpet Cleaning: Carpet cleaning services are not offered.

Blinds: Blinds will be cleaned to the best of our ability. Due to age, sun exposure, or prior condition, breakage may occur, and full dust or stain removal cannot be guaranteed.

Safety Standards

We adhere to all recommended safety standards, including the use of primarily EPA- registered cleaning products and Personal Protective Equipment (PPE) in accordance with CDC and applicable health agency guidelines.

Sanitizing vs. Disinfecting Disclosure

Realty & Commercial Cleaning Agency, LLC provides sanitizing services as part of most cleaning tasks. Sanitizing reduces bacteria and germs to levels considered safe by public health standards.

We do not guarantee disinfection of surfaces unless explicitly stated in writing. Disinfection requires specific dwell times, saturation levels, and procedures that are not part of standard cleaning services. While we take reasonable and professional steps to sanitize surfaces, no claims are made that surfaces are disinfected or free of all pathogens.

Pet Policies

All pets must be fully secured and have no access to cleaning staff during service. The client assumes full responsibility for any injury, bite, or incident involving an unsecured pet.

While reasonable care is taken, Realty & Commercial Cleaning Agency, LLC is not responsible for pets that escape during service.

Removal of pet waste is not included in standard or deep cleaning services. Additional fees may apply if pet waste or pet-related conditions are present.

Disclosure of Biohazards: The client is required to disclose the presence of any known biohazards—including but not limited to blood, bodily fluids, needles/sharps, drug paraphernalia, or animal/rodent/vermin waste—prior to the commencement of service.

Tiered Service Protocols

1 Standard Janitorial (Tier 1): Our standard rates do not include the handling or cleaning of biohazardous materials. If undisclosed biohazards are encountered during a Tier 1 service, work in the affected area will stop immediately for the safety of our staff.

2 BBP-Controlled Surface Decontamination (Tier 2): Realty & Commercial Cleaning Agency, LLC is IJCSA Bloodborne Pathogen and Chemical Hazard Certified. We are authorized to perform “specialized bio-contaminant surface cleaning” “RCCA does not package, transport, consolidate, or dispose of regulated medical waste or red-bag waste beyond relocating sealed containers to a client-designated on-site storage area when expressly authorized in writing.”

Hazard Surcharge: If a biohazard is encountered, the client will be notified immediately. The client may elect to have the hazard remediated at our Specialized On-Site Sanitation Rate, which includes a fee for specialized PPE (6-mil nitrile gloves, respirators, and hazard suits) and Pro Grade HEPA-filtered extraction and Compliance. If the client declines specialized remediation, the area will be left uncleaned to ensure staff safety, and standard service fees will still apply.

Liability: While we utilize professional-grade disinfectants and BBP protocols, the client acknowledges that biohazard sanitation involves inherent risks. Also note “HEPA-filtered equipment is used solely for particulate containment during incidental cleaning and does not constitute mold remediation, asbestos abatement, or environmental remediation.” Realty & Commercial Cleaning Agency, LLC is not liable for pre-existing contamination or health issues related to undisclosed hazards. “Due to the specialized nature of our Chemical Hazard and BBP protocols, a ‘Safety & Consumables’ surcharge may be applied to projects requiring specialized PPE , Special Equipment & EPA-registered disinfectants.”“When conditions exceed the scope of RCCA’s certifications, we reserve the right to subcontract specialized services to appropriately licensed providers with client approval.”

Medical Sharps & Needle Disposal Disclosure

Clients must disclose in advance the presence of medical sharps, including insulin needles, lancets, syringes, or other needle-based medical devices.

All medical sharps must be properly contained and disposed of in an approved sharps container prior to service. Realty & Commercial Cleaning Agency, LLC does not handle or dispose of medical sharps.

The client assumes full responsibility for injuries or exposure resulting from improperly disposed sharps. Failure to disclose may result in immediate service termination.

Drug Paraphernalia & Biohazard Disclosure

“Undisclosed drug paraphernalia will result in a safety work-stoppage and a Hazardous Materials Handling Fee

Clients must disclose any known drug use, needles, drug paraphernalia or biohazards prior to service. 

“Our staff utilizes high-grade PPE (6-mil nitrile gloves) and is trained in Opioid Overdose Response (Narcan).

Since our staff is trained in basic overdose-awareness training we may carry emergency response tools such as Narcan for personal safety purposes only.  Any interference with safety protocols by the client will result in immediate termination of service. “When conditions exceed the scope of RCCA’s certifications, we reserve the right to subcontract specialized services to appropriately licensed providers with client approval.” For disclosure or questions,please contact Kristy Basco at 318-277-3476.

Glass Shower Door Liability Waiver

The client acknowledges that glass shower doors may shatter due to pre-existing defects, pressure stress, improper installation, or temperature fluctuations. Realty & Commercial Cleaning Agency, LLC is not liable for glass breakage occurring before, during, or after cleaning.

Fogless Mirror Disclaimer

Certain fogless, anti-fog, or coated mirrors are manufactured with delicate surface treatments that may scratch, haze, or degrade during routine cleaning, even when non-abrasive methods are used. Realty & Commercial Cleaning Agency, LLC is not responsible for scratches, surface damage, or coating failure on fogless or specialty mirrors resulting from normal cleaning procedures.

Clogged Toilet Policy

Realty & Commercial Cleaning Agency, LLC does not clean, clear, plunge, or attempt to unclog clogged toilets. Our staff is not trained or equipped to perform plumbing services. Any clogged toilet must be resolved by the client or a licensed plumber prior to cleaning. Service time and fees remain applicable.

Water Damage Disclaimer

Realty & Commercial Cleaning Agency, LLC is not responsible for damage caused by leaking sinks, bathtubs, toilets, plumbing failures, appliance malfunctions, or flooding resulting from pre-existing conditions or structural issues.

Furniture & Desk Movement Policy

We will move small, lightweight furniture when necessary. We are not responsible for scratches, scuffs, or damage that may occur as a result of moving furniture during normal cleaning procedures. Heavy furniture must be moved by the client prior to service or before the area is reached during cleaning.

Utilities Requirement

Client agrees to provide access to electricity and running water during service. Lack of utilities may limit services and does not void payment obligations. Heating or air-conditioning settings may be adjusted for staff comfort and safety.

Access to Property

Client is responsible for providing timely access to the property. Delays, lockouts, or restricted access may result in reduced service time and do not reduce the hourly rate.

Pre-Existing Conditions & Fragile Items

Realty & Commercial Cleaning Agency, LLC is not responsible for damage resulting from pre-existing conditions, previous cleaning chemicals, normal wear and tear, improperly installed items, or fragile materials. Certain items may be fragile due to age, sun exposure, or prior condition, and breakage may occur during normal cleaning procedures.RCCA will maintain the on-site janitorial closet in a clean, organized, and OSHA-compliant manner. The client agrees to provide a secure, ventilated area for the storage of supplies. RCCA is not responsible for the loss or damage of client-owned equipment stored in shared spaces.”

Results Disclaimer

Cleaning results may vary based on surface condition, buildup, and prior maintenance. No guarantees are made regarding complete stain, odor, or residue removal.

Post-Service Mold & Mildew Disclaimer

Realty & Commercial Cleaning Agency, LLC is not responsible for the development or reoccurrence of mold or mildew after services are completed, including conditions caused by improper ventilation, excessive moisture, humidity, plumbing issues, or environmental factors beyond our control.

Allergy Disclosure

Clients must notify us in writing prior to service of any allergies or sensitivities. If no notice is provided, standard products and procedures will be used.

Active Service Area & Occupational Safety Disclosure

Restricted Work Zones: During active service, the designated work areas are considered Restricted Zones. These areas contain essential professional implements, including high-voltage vacuum cords, extension tools, ladders/stepstools, and specialized caddies. Floors will be damp or wet as part of our sanitization and disinfection protocols.

Signage & Trip Hazards: Realty & Commercial Cleaning Agency, LLC strictly adheres to OSHA and safety standards by utilizing high-visibility “Wet Floor” and/or “Work in Progress” signage. While we take every precaution to ensure cords and equipment are organized and do not block primary egress or doorways, these safety implements are necessary for public protection.

Client Responsibility for Site Control: By booking services, the purchasing client assumes full responsibility for site control. This includes advising and instructing all occupants, customers, employees, sub-contractors, and visitors to avoid entering active cleaning zones.

Liability Waiver: To the fullest extent permitted by law, Realty & Commercial Cleaning Agency, LLC is not liable for slips, trips, falls, or incidental injuries occurring when an individual enters a restricted work zone or ignores safety signage. Acceptance of service constitutes an agreement that the client will ensure all persons and pets remain clear of active work areas until the technician has officially cleared the area for safe entry.

Prohibited Disposal of Hazardous Materials: In accordance with our Chemical Hazard Certification and local environmental regulations, Realty & Commercial Cleaning Agency, LLC does not dispose of, transport, or “throw away” household or industrial chemicals. This includes, but is not limited to: old cleaning supplies, paint cans, pesticides, oils, or unknown liquids left on-site.

Client Responsibility: All such materials must be managed and disposed of by the property owner. For residents in Alexandria, LA, we recommend coordinating with the city’s specialized hazardous waste collection events. Our staff is strictly prohibited from placing these items in standard waste bins or transport vehicles. If these items are left in a work area, they will be moved to a designated “Safe Zone” on-site, and service will proceed around them.

Valuables Policy

Personal Property & Asset Security Policy

Staff Vetting: Realty & Commercial Cleaning Agency, LLC maintains the highest standards of integrity. All team members undergo rigorous background screening and professional vetting prior to placement.

Secure Storage Requirement: To protect the interests of both the client and our staff, we require that all “High-Value Items”—including but not limited to jewelry, cash, small electronics, prescription medications, and sensitive documents—be secured in a locked drawer, safe, or off-site location prior to our arrival.

Liability Limitation: Our staff is strictly instructed not to touch or move unsecured valuables. Realty & Commercial Cleaning Agency, LLC is not liable for the loss, displacement, or perceived disappearance of any items left in plain view or in unsecured common areas.

Reporting Protocol: If a staff member encounters an item of significant value that prevents the completion of a task, they are instructed to bypass that specific area. By accepting service, the client agrees to this “Safe-Environment” protocol and waives claims for items not secured in accordance with this policy.

Commercial Facility Security & Alarm Protocol

Key & Access Control: Realty & Commercial Cleaning Agency, LLC (RCCA) takes the security of your facility seriously. All keys and access codes are strictly controlled and managed only by authorized personnel.

Standard Closing Procedure: Upon completion of service, our team will ensure all designated interior/exterior doors are locked. The security alarm will be armed in accordance with the client’s written instructions unless an authorized employee of the client is still present in the building.

The “Employee Present” Exception: If an occupant or employee of the client is still working or present at the time of our departure:

1 RCCA will ensure the building is locked upon exit.

2 RCCA will NOT arm the security system. This is a safety measure to prevent accidental entrapment or false alarm triggers.

3 The responsibility for final alarm activation and building securement shifts entirely to the client’s remaining personnel once RCCA has exited the premises.

Liability Limitation: RCCA is not liable for security breaches, thefts, or false alarms resulting from (a) incorrect alarm codes provided by the client, (b) malfunction of client-owned security hardware, or (c) the failure of the client’s remaining personnel to arm the system after our departure.

Non-Disclosure Agreement

A Non-Disclosure Agreement (NDA) is available upon request for clients requiring additional privacy protection.

Additional Services

Additional services are available upon request. Please refer to our service menu or contact us directly for pricing. “When conditions exceed the scope of RCCA’s certifications, we reserve the right to subcontract specialized services to appropriately licensed providers with client approval.”

Tenant Authorization & Property Access Acknowledgment

Tenant & Property Owner Authorization: By booking services, the purchasing client (the “Client”) confirms they are either the legal property owner or have obtained express written authorization from the property owner/manager for Realty & Commercial Cleaning Agency, LLC to access and perform services on the premises. The Client agrees to indemnify and hold our agency harmless from any disputes, claims of trespassing, or liability arising from unauthorized access. We reserve the right to verify authorization with the property owner prior to service.

Documentation & Visual Representation Policy

Quality Control & Compliance: For purposes of internal quality control, contract compliance, and “Proof of Performance,” Realty & Commercial Cleaning Agency, LLC (RCCA) technicians are authorized to take before-and-after photographs of the work areas.

Privacy & Security Standards: RCCA maintains strict privacy standards. We will not photograph:

1 Any identifiable personal information or sensitive commercial documents.

2 Proprietary equipment or secure government/medical infrastructure as designated by the client.

3 Any identifiable branding or location markers (address, license plates, signage) that would disclose the property’s identity.

Marketing Consent & Waiver: Acceptance of service constitutes authorization for RCCA to use sanitized, non-identifiable “before-and-after” imagery for professional marketing and educational purposes. No Client names or specific locations will ever be disclosed. For high-security or Government facilities, the Client may submit a written “Restrictive Photography Request” to limit photos to internal quality control use only.

Payment Terms & Cancellation Policy

Tiered Payment Structures:

• Commercial & Government Contracts: Payment terms are strictly governed by the specific Service Agreement or Purchase Order (e.g., Net-15 or Net-30). In the absence of a written agreement stating otherwise, standard payment terms apply.

• Standard & Residential Services: A 50% non-refundable deposit is required no later than 72 hours prior to the scheduled service date. Failure to submit the deposit by this deadline may result in immediate cancellation of your time slot. The remaining balance is due in full upon completion of service.

Late Payments & Fees:

Any balance not received within seven (7) calendar days of the service date will incur a $15.00 late fee. Continued non-payment may result in a suspension of future services and referral to a third-party collection agency.

Cancellation & Rescheduling:

Deposits are non-refundable if a service is canceled or rescheduled within 72 hours of the original appointment. This fee covers the administrative costs and lost wages for our specialized team who were reserved specifically for your project.

Agreement to Terms:

By booking services with Realty & Commercial Cleaning Agency, LLC—whether via check, electronic transfer, or credit card—the client acknowledges and accepts all terms and conditions outlined in the estimate and/or published on our official website: www.rcca.cleaning (http://www.rcca.cleaning/)

Employee Safety, Training, and Regulatory Compliance

Professional Standards & Vetting: Realty & Commercial Cleaning Agency, LLC is a fully incorporated, tax-compliant entity. We are not a “cash-only” or “under-the-table” operation. We maintain a valid Occupational License and all required state registrations. Every member of our team is a W-2 employee—fully vetted, background-checked, and covered under our comprehensive General Liability, Surety Bond, and Workers’ Compensation insurance policies.

Specialized Certifications: To ensure the highest level of site safety and facility health, our staff is specifically trained and certified in the following:

• OSHA-Compliant Bloodborne Pathogen (BBP) Protocols: Expert handling of biological risks and contaminants.

• Chemical Hazard Compliance: Professional-grade knowledge of EPA-registered disinfectants and Safety Data Sheet (SDS) management.

• Emergency Response: Our team is Narcan-trained and equipped to handle incidental exposure to hazardous substances for personal safety purposes only.

The “Professional” Difference: By hiring our agency, the client is protected from the legal and financial risks associated with uninsured, uncertified, or non-tax-compliant labor. We do not just “clean” surfaces; we manage the safety and compliance of your environment according to industry-leading standards.

Right to Refuse or Terminate Service

Either party reserves the right to refuse or terminate service at any time if conditions prevent services from being performed safely, legally, or professionally.

Service Concerns

If there is an issue with the service provided, the client must notify us within 24 hours of service completion for review and possible resolution.
